Overview
The CommittedGiving service is made up of web-based, password protected, totally secure ‘private’ or back office applications which you can use to administer the ‘public’ or ‘front-end’ interfaces. Typically the public interfaces will allow a donor to set up a regular gift by Direct Debit, upgrade an existing regular gift, make a one off donation by credit or debit card, book a place at an event or purchase some merchandise. In addition, for internal use, you can bypass the public interfaces and enter details directly via the private application – useful when you have paper based forms or telephone calls which need actioning.
The public interface is fully customisable and reflects your brand guidelines and style sheet constraints.
The private application also allows designated users full access to a range of administrative, reporting and data extracts tasks and functions. After initial customisation, implementation and training you are in full control of practically all aspects of the day to day running of the service. But, help and advice is always just a phone call or email away.
We are an approved BACS bureau, which means that we can provide a full managed Direct Debit bureau service for those organisations with their own BACS Service User Number (SUN). A Facilities Management option exists for those organisations who do not have their own SUN. In both cases the service includes the submission of claims, automatic administration of exceptions, e.g. claim failures, account changes, cancellations, etc and a full suite of relevant reporting.
Similarly, we provide a real time credit and debit card processing service. This is provided in partnership with the payment gateway specialist: Secure Trading Ltd. You simply need to assign your designated Internet Merchant Number to this service in order to start taking online card payments. If, for any reason, you do not want to use your own merchant number you can use our Facilities Management (FM) service which is run in partnership with Workwithus.org – a subsidiary of the Scottish Council of Voluntary Organisations (SCVO). There is a small overhead in terms of administration and processing fees, for taking the FM option, but it is a proven and viable alternative.
We recognise that many organisations will continue to need to run their own, in-house, separate CMS or donor support systems, as such we work with you to implement quick and effective data export / import routines for you, which avoids the need for secondary data entry or unnecessary handling.
Our processing systems are modular which means that you only need to select, and pay for, those parts of the service you need. In addition to the basic Direct Debit and Card Processing modules the following optional modules can be added at any time:
- Membership Management - set up membership or subscription types, assign people to relevant category, automated renewal, lapsed functions. Allow access so that your members can renew online.
- Events Management – set up events, register interest and book places.
- Sponsorship pages – create simple individual fundraising pages, sponsorship pages, in commemoration, celebration, etc.
- Outbound calling – for use in telephone calling campaigns, select the prospects to call, record the outcome in real time. Either use in-house or by your Call Centre.
- Merchandising / publications – set up a basic online shop.
- Group Management – set up groups, e.g. South of England supporters, assign people and roles to the group, report at group wide level.
- Donor access – you can give your donors a password and allow them to logon and access their own details. You specify what they can or cannot do e.g. upgrade a direct debit (yes), or cancel a direct debit (no), change their address, make another one off card donation and so on.
- Surveys – we can create a custom survey for you, add it to the public pages and record the responses. Subsequent offline analysis and reporting of the results is available.
- Donorweb – this module gives you the basic tools to edit and customise the public pages contents. Expert users, at your own risk, can have access to the CSS which gives access to much greater customisation possibilities.
- Bankchecker – a service that allows you to validate and verify bank account or credit / debit card numbers without having to make a live transaction.
All modules should be treated as templates: they provide all the functions and features necessary to get started. But, in some cases they may need tailoring to meet your exact requirements, we welcome the opportunity to work with you to ensure you get exactly what you want.
In addition to these modules, standard administrative functions include:
- Gift Aid management – you write the gift aid statement, gift aid values are automatically calculated and a full audit of changes to individual Gift aid status is maintained.
- Admin Level Users - can manage user access and privileges, edit values which appear in dropdown lists, add or edit campaigns, promo codes and email templates.
- Data imports – batch import of bulk data to avoid the need for individual keying.
